Summary

The Academic Program Support Specialist serves as a University of Utah employee who acts as a conduit between the Air
Force Reserve Officer Training Corps (ROTC) Aerospace Studies and the College of Behavioral Science. Employee
works within the Air Force ROTC building on a daily basis. Serves as continuity for the class="caps">ROTC staff- typically the Commander and Air Force Staff depart every three years. Accounting and billing skills are
quite helpful. Utilization of Outlook Calendar, scheduling meetings between the staff and students, office familiarity, ordering and paying
for annual supplies, issuance of student uniforms, and assistance with student folder reviews.

Responsibilities

  • Monthly reconcile the General Ledger and the APSS account (POW/ class="caps">MIA account)
  • Assists with student folder reviews, creating new folders
  • Obtain account information from
    Weber University
  • Monthly reconcile AFA and IUF accounts by obtaining the bank
    statements
  • Email phone bills to NCO (staff) for reimbursement
  • Pay bills (water, Interform, and
    any others that need paying)
  • Print transcripts when necessary department copies only for U of U
  • Make sure the class
    schedules are correct in CLSS
  • Keep track and mark Detachment purchases- balance ledger
  • Order
    purchases in UShop as needed
  • Assist with student uniform distribution/tracking in WINGS ( class="caps">ROTC website)
  • Submit Affiliate forms when required (new AF hire)
  • When a new Department Chair
    (Commander) is hired you have to do an ePAF so he can sign on deposits and other U required items
  • Pay for class="caps">TRAX passes every August
  • Submit an invoice form Commuter Services to Weber for parking passes in June

  • Keep track of number of Detachment personnel for Microsoft licenses
  • Assist students with class issues, registering for class="caps">ROTC
  • Check in individuals wanting information on the program
  • Send annual awards letters to sponsoring
    agencies
  • Make contact with the District 5 people for repairs and work on D wing
  • Responsible for all keys to the
    department
  • Schedule High School Scholarship Interviews
  • Answer phones and greet visitors

Minimum Qualifications

Three years of general office experience, one of which in an
academic setting; and demonstrated human relation and effective communication skills required. College coursework in a related area is
preferred.
