Job Description

The Associate Director of University Events will be
responsible for EMS (Event Management System), plan and manage various campus-wide events, set and oversee the budget and equipment
inventory for events, and represent our department at planning and coordination meetings with other departments. They must be flexible to be
a leader on certain events while working as a team on others. This position will help develop policy and then execute it, in areas such as
making reservations of rooms on campus and usage of public spaces. The Associate Director should be able to solve problems as they arise, as
with any capable event manager. In addition, this person should constantly think of ways to improve processes and procedures within the
department. This person will interact with the President's Office and Cabinet members, along with all levels of staff and faculty when
planning events. They will negotiate with vendors who supply rental equipment, for example, as well as supervise and train a student

Essential Duties and Responsibilities

  • Maintain and support the Event Management System (EMS) for
    booking rooms on campus, including coordinating software upgrades and patches, training end users, and importing class and final schedules
    when necessary.
  • Coordinate campus events with Campus Police, Facilities, Athletics, Catering, and other departments as
  • Set and maintain the budget and equipment inventory for the events area of the department.
  • Working with the
    Executive Director, set policy for making reservations and scheduling events and conferences at Stevens.
  • Hire, train and oversee
    the student staff, who are responsible for setting up events across campus.
  • Represent University Events in coordination and
    planning meetings with other departments.
  • Lead the planning and management of campus-wide events, such as (but not limited to)
    Innovation Expo, Freshmen Orientation, and Career Fairs.
  • Coordinate the University Events staff on larger events when necessary,
    such as Commencement, Admitted Students Receptions, and Alumni Weekend.
