The Administrative Coordinator reports to the Assistant to the Dean for AZCOM. The individual supports the Associate Dean of Clinical
Education and the Associate Dean of Academic Affairs.

Responsibilities include:

General Office Support

  • Greet and assist visitors to the AZCOM Dean's Office
  • Answer phones for AZCOM Dean's Office; screen and assist callers as
  • Arrange on-campus meetings and appointments with students, deans, or faculty members
  • Oversee maintenance of an
    up-to-date filing system for student and graduate files
  • Order office supplies
  • Maintain organization of AZCOM Dean's Office
    file room
  • Organize, maintain and complete the graduation document archive for graduation clearance
  • Other duties as
Support to Associate Dean of Clinical Education and Associate Dean of Academic Affairs
  • Make calendar
    appointments/calendar management
  • Make meeting and travel arrangements; may include other faculty/staff department members for site
    visits, off campus lectures, conferences
  • Complete Concur expense reports
  • Assist with tracking decelerated students or
    students on a leave of absence
  • Other projects, as requested
Courses and Committee Support
  • Schedule and
    coordinate committee meetings for Pre-Clinical Promotions Committee (PCP) and Clinical Promotions Committee (CPC). Meetings include
    preparing packets and agenda; take, draft and finalize minutes.
  • Assist with block schedule
  • Assist with reviewing
  • Assist with first-day of quarter student attendance
  • Assist with course evaluations
  • Proctor examinations,
    as requested
Student Support
  • COMLEX and USMLE enrollment; graduation verification
  • Complete student forms
    requiring a dean's approval (military reimbursements, travel/conference requests, jury duty, graduate training verifications)

  • Assist with COMAT, Q-Bank
  • Assist with registering students in ERAS and inputting their MSPEs and transcripts
  • Assist
    with the osteopathic scramble and allopathic SOAP process
  • Assist with BLS/ACLS recertification process
  • Assist with
    scheduling financial aid exit interviews in our out-of-state regions
  • New Student Region Assignments
  • Contact Admissions
    Department to receive list of newly accepted applicants
  • Contact newly accepted applicants via email, provide applicants information
    regarding AZCOM's various rotation regions which includes a survey link for them to rank their rotation preferences
  • Create rotation
    preference survey using Survey Monkey
  • Collect survey results, track and assign rotation region
  • Notify applicants of their
    assigned rotation region
  • Monitor applicant list by removing withdrawn applicants
  • Create and track student class lists

Data Management Support:
  • Coordinate and schedule students for MSPE preparation
  • Assist with MSPE data merge

  • Assist with MSPE data review before release to ERAS
AZCOM Event Management/Assistance
  • All AZCOM-specific new student
    orientation activities, and all orientation week events
  • Recruit, assign, develop activities for, and monitor the Big Sib program
    through the AZCOM Second-Year Class Council and SGA
  • Second Year Send Off / Champagne Toast after finals
  • White Coat
  • Bridging Ceremony
  • On Campus Match Celebration
  • AZCOM faculty development retreats

Education and/or

High school diploma or GED and 5-7 years administrative support experience required. Bachelor's degree desired.
Experience working in a team and customer service oriented environment. Excellent written and verbal communication

Computer Skills

Computer proficiency in MS Office (Word, Excel, Outlook and Power Point) and data
base management. Intermediate to advanced knowledge of MS Office Excel preferred.


Intermediate skills: Ability to read and interpret documents such as safety rules, operating and maintenance
instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of
customers or employees of organization.

Reasoning Ability

Intermediate skills: Ability to apply common sense
understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete
variables in standardized situations.

Mathematical Ability

Basic skills: Ability to add, subtract, multiply
and divide all units of measure using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to
interpret bar graphs.
