Summary

The Administrative Assistant provides receptionist and administrative support for the Clinical Skills
and Simulation Center (CSC) and the Advanced Cardiac Life Support/Basic Life Support program offered through the Center.The position reports
to the Assistant Director, Clinical Skills and Simulation Center - Glendale.

Essential Duties and Responsibilities


Administrative support for ACLS/BLS program to include:
  • Assist with preparing and submitting
    documents related to recruitment and hiring of ACLS/BLS instructors
  • Preparing and maintain ACLS/BLS scheduling and staffing
    charts
  • Tracking and submitting payroll hours for ACLS/BLS instructors
  • Assist ACLS/BLS Program Manager with tracking and
    reporting outcomes of program
  • Assist ACLS/BLS Program Manager with additional administrative projects as necessary

Administrative support for events, lab sessions, and/or assessments
:
  • Perform pre-event non-technical
    preparations related to both Standardized Patient (SP) and Simulation based activities (specifically room set up, supplies, faculty packets,
    handouts)
  • Prepare student sign in sheets for all CSC-activities
  • Greet students upon arrival for all events, lab sessions,
    or assessments. Provide directions, answer questions.
  • Prepare/collect laundry for weekly pick up.Restock clean linens upon
    return.
  • Assist when needed with transfer of or set up of simulators or simulator equipment in Center or remotely
  • Other
    duties as assigned for simulation or lab event
Perform internal administrative duties to include
:

  • Assist with preparations for internal activities (i.e.: meeting agendas/minutes, end of year retreat, dual campus retreat, etc.)

  • Organize and maintain non-personnel related files/records (i.e.: Video consent forms, ACLS/BLS program, etc.)
  • Process check
    requests and reimbursement through MWU portal
  • Maintain office supply inventory including weekly ordering when needed.

  • Schedule appointments/meetings for the Director and Assistant Director as directed.
  • Assist with maintaining the department
    master calendar in Outlook.
  • Assist with administrative projects, mailings, faxes at the direction of the Director or Assistant
    Director
Perform external/customer service duties to include:
  • Answer/screen telephone calls to the
    Clinical Skills and Simulation Center
  • Greet guests as they enter the Clinical Skills and Simulation Center
  • Prepare for
    tours made through the Center
  • Communicate with customers in a timely and professional manner
  • Other duties as assigned

Education and/or Experience
/>High school diploma or GED and 1-3 years administrative support experience in an office or educational setting required. Associate degree
highly desired.Experience working in a team and customer service oriented environment highly desired.

Computer Skills


High Skills: Computer proficiency in MS Office (Word, Excel, Outlook, PowerPoint).

Language Skills


Intermediate skills: Ability to write routine reports and correspondence.Ability to communicate effectively and
professional over email or by phone. Ability to speak effectively before groups of customers or employees of organization.
/>Reasoning Ability

Basic skills:Ability to read and interpret documents such as safety rules, operating
instructions, and procedure manuals.Ability to apply common sense understanding to carry out instructions furnished in written, oral or
diagram form with minimal to moderate supervision.Ability to deal with problems involving several concrete variables in standardized
situations.

Mathematical Ability

Basic skills:Ability to add, subtract, multiply, and divide all
units of measure using whole numbers, common fractions, and decimals.Ability to use technology in making mathematical calculations.
